What personal data we collect and why

We collect the following personal data when you contact us via our contact form or email:

  • your name
  • your email address

We may request the following further information to assist us in providing you with a quotation:

  • project details
  • sample of your document

If we agree to work with you, we require the following information:

  • postal address to be included on invoices as required by HMRC
  • file(s) required for the work

Who we share your data with

We don’t share your data with third parties in a way as to reveal any of your personal information like email, name, etc. However, some data is transferred and/or stored with third-party services we use, like cloud-based services and payment processors. This is done as a way to provide you with a better overall service and user experience.

Here are the services we use to make our own service better for you:

  • PayPal – we use Paypal as one of our payment processor. During checkout, a client will provide login information and credit card info.   • Stripe – we use Stripe as one of our payment processor. During checkout, a client will provide credit card info. These are all stored in the Stripe site. Review their privacy policy here: https://stripe.com/gb/privacy

We share your personal information that appears on your invoices (e.g. name, physical address, email address) with our cloud-based accounts package, Kashflow. You can review their privacy policy here: https://www.kashflow.com/privacy-policy.

Full Proof may share your work files with freelance proofreaders to whom we outsource work, as outlined in section 5 of our Terms and Conditions. By agreeing to use our services you give your consent for us to share your work files in this way.

Finally, if you provide a proofreading testimonial for Full Proof, we will include your name and that of your company if applicable.

Where we store your data

The personal data you provide for invoicing purposes is stored on cloud-based invoice software.

Work files are stored on an encrypted Network Attached Storage device. As this device is restricted to our network, it is more secure than cloud-based storage.

How long we retain your data

To comply with HMRC, we retain your personal data for a minimum of seven years.

Your work files will be stored by Full Proof for seven years also, but you can request that we delete these files at any time. Our subcontractors are routinely asked to delete all work files that we send to them.

What rights you have over your data

You can request that we erase any personal data we hold about you at any time. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Our website has a valid SSL certificate which means it is run on a secure https network. This encrypts our user communications with the servers so personal identifiable information is never captured by third parties without authorisation.

We strive to update our website software daily – this includes WordPress version, WordPress plugins and theme – to ensure that the website remains as secure against virus and hacking threats as possible.
